TITLE: VENDOR ACCESS/IDENTIFICATION
PURPOSE: To maintain a safe and secure environment for patients, visitors and staff by preserving safety, security, privacy and confidentiality through vendor credentialing and defined security access check in locations. This policy also ensures that decisions regarding the use or purchase of products, medical supplies, equipment or services are made based on the best available evidence-based data and that neither medical education nor patient care are unduly biased by the activities of vendor representatives. POLICY STATEMENT:
Access to the University Health System (Health System) by vendor representatives is a privilege provided to allow mutually beneficial interactions. As invited guests, vendor representatives must strictly adhere to this policy. All vendors conducting business within the Health System must wear approved identification.
POLICY ELABORATION:
(I) DEFINITIONS
(A) Kiosk – a small, free-standing wireless structure that may be located at the various vendor credentialing registration locations (Attachment I) and is used for the strict purpose of onsite vendor registration and badge retrieval for gaining access to the various Health System departments/and or facilities.
(B) Vendor Access Level – a predetermined fee paid to the vendor credentialing system (see D. below) by a vendor based upon the areas of access that will be required by the vendor while conducting business within the Health System.
(C) Vendor Credentialing – the process a vendor goes through to gain admittance to the various departments within the Health System. The process includes but is not limited to a background check, providing proof of defined immunization requirements, and successful completion of various other defined Health System requirements.
(D) Vendor Credentialing Service/System – a third-party, full-service web-based solution that facilitates and helps manage access controls and compliance for vendor representatives.
(E) Vendor Registration – for the purposes of this policy, relates to the process of vendor representatives checking in through the kiosk at the designated locations (Attachment I) each time he/she enters a Health System facility. The vendor registration process will provide the appropriate photo ID badge that is to be worn at all times while on Health System property.
(F) Vendor Representatives – any person not employed by the Health System that enters Health System property with the intent to sell or broker a product or service, provide service, or to do so on behalf of another organization.
